Job Description:
We are seeking a self-starting, flexible, diligent, and committed individual for the role of Shop Manager and Bookkeeper. As part of our team, you will play a crucial role in managing the financial records and day-to-day operations, supporting shop sales, and fostering a welcoming environment for customers, crafters and volunteers.
Additional position information:
- The position is full-time, five days per week, 10:00 AM - 6:00 PM with additional hours as needed
- Salary $50,000 - $55,000 commensurate with experience, with potential for end-of-year bonus
- 10 days of paid vacation plus the period between Christmas and New Years when shop is closed
- 5 paid sick/personal days per year
- Paid holidays when shop is closed: Fourth of July and Thanksgiving Day
Key Responsibilities:
Reporting and Accounting:
- Manage BWE’s books and records, including entering and reconciling general journal entries, providing required data to external accountants, reconciling bank statements and producing various system reports.
- Ensure thorough understanding of and ability to utilize all aspects of BWE’s inventory and accounting systems.
- Regular payroll and sales tax reporting to BWE’s accountant.
- Create routine and one-time reporting and analyses for volunteers, accountants, and various BWE committee projects.
- Coordinate with volunteers to conduct annual inventory process.
Operations Management:
- Oversee daily shop operations, including cash management, sales reconciliation, checking account monitoring, filing and organization of BWE’s reports and records, and fulfillment of online orders.
- Troubleshooting and maintenance of key shop infrastructure, including technology, security, and service providers. Schedule and oversee necessary repairs to shop equipment and services.
- Generate payments to BWE’s crafters, vendors, and employees.
- Ensure all shop supplies are well stocked.
Merchandise Support:
- Support merchandise committee by assisting with new crafter submissions and new inventory input and serving as additional crafter point of contact.
- Assist with training new volunteers on inventory management system.
- Work with merchandise committee to maintain accurate inventory records and to ensure timely merchandise restocking.
- Communicate with crafters regarding sales, feedback, and upcoming events or promotions, as needed.
- Assist with Shopify/e-commerce order fulfillment.
Relationship Management:
- Work closely with the BWE Executive Committee, especially the President and Treasurer, to set goals, execute business plans and prioritize shop manager responsibilities.
- Work the floor: provide exceptional customer service to enhance the shopping experience and promote customer satisfaction, including assisting customers in selecting items for purchase, providing product information, and processing sales transactions.
- Build and maintain relationships with customers, crafters and volunteers, fostering a sense of community.
- Hire and oversee part-time student weekend staff.
Qualifications:
- Thorough knowledge of Microsoft Office Suite, especially Excel; Quickbooks, and business reporting.
- Experience with retail inventory database management.
- Excellent organizational abilities with attention to detail and accuracy.
- Effective communication skills, both written and verbal.
- Strong customer service skills with a passion for providing personalized assistance and building relationships.
- Previous retail experience required.
- B.A. in business administration or similar major preferred.
